Absence Policies

Our sample absence policies are free to download, customize & print for your business.

There are two policies below for your small business to use for their employee absences. The first policy is appropriate for small businesses in which employee attendance and timeliness are critical.

The first sample policy is also designed to impress upon employees that the business needs require them to get to work on time and that they will be required to let you know when they will be unable to make it into work.

Employee absences and/or tardiness create more of a problem in some small businesses than in others realizing that every small business works more efficiently when every employee is working. Keeping this in mind, the very first sample policy for employee absences is very strict.

You can customize one or both of the policies below to create your very own policy for employee absences your company, and on the very last page is a Weekly Absence Record form that your employee’s manager(s) can use to track the employee absences weekly.

The stricter policy for absences includes provisions on:

  • Punctuality Requirements
  • Rules for Counting Absences
  • Documentation & Notification of Absence Procedures
  • Circumstances Considered “Voluntary Termination” or Reason for Counseling, Suspension or Termination
  • Types of Absences Classified as “Excused”
  • Inclement Weather Procedures

On the stricter policy, the first paragraph includes: Your timely attendance at work is crucial to making the business run smoothly. We must meet production requirements to satisfy our customer’s demands.  You need to do your part in achieving this goal, and one way is to maintain a good attendance record.  Any absence or tardiness becomes a part of your employment record.

The more flexible policy for absences focuses less on tardiness and includes provisions on:

  • General Explanation of Policy Regarding Completion of Work in More or Less Than a Standard Workweek
  • List of “Authorized Absences”
  • Notification of Absence Procedures
  • Circumstances Considered “Voluntary Termination” or Reason for Counseling, Suspension or Termination
  • Inclement Weather Procedures

On the more flexible policy, the first paragraph includes: As an employee, you will be treated as a professional, which means that you will be expected to complete your work on time and at the expected level of quality.  If extra hours are needed to complete your work, you will be expected to put in those extra hours.  If, on the other hand, you are able to complete your work in less than a standard workweek, you are free to use those extra hours as you see fit.  In return for being treated as a professional, we expect you to behave as one and not to abuse these privileges.
